Privacy Policy

Last updated: April 2026

1. Who We Are

Pulse AI Ltd ("we", "our", "us") is registered in England & Wales. We operate SIGN by Pulse AI, an electronic document signing platform. For privacy enquiries, contact us at privacy@pulseai.co.uk.

2. What Data We Collect

We collect the following personal data: your name and email address when you register; documents and their contents that you upload; recipient information (names and email addresses) you provide when sending documents; billing information processed securely via Stripe; and usage data such as IP addresses, browser type, and activity logs.

3. How We Use Your Data

We use your data to: provide and operate the Service; process payments and manage your subscription; send transactional emails (signing requests, notifications); comply with legal obligations; and improve the platform. We do not sell your personal data to third parties.

4. Legal Basis for Processing

We process your data on the following bases under UK GDPR: contract performance (to deliver the Service you signed up for); legitimate interests (platform security, fraud prevention, product improvement); and legal obligation (compliance with UK law).

5. Data Sharing

We share your data only with trusted third-party processors necessary to run the Service: Stripe (payment processing), Resend (transactional email delivery), and our cloud infrastructure provider. All processors are contractually bound to protect your data.

6. Data Retention

We retain your account data for as long as your account is active. If you cancel, we retain your documents for 30 days before permanent deletion. Billing records may be retained for up to 7 years for legal and tax compliance.

7. Your Rights

Under UK GDPR, you have the right to: access the personal data we hold about you; correct inaccurate data; request erasure of your data; restrict or object to processing; and data portability. To exercise any of these rights, contact us at privacy@pulseai.co.uk. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO).

8. Cookies

We use essential cookies to maintain your session and keep you logged in. We do not use advertising or tracking cookies. You can disable cookies in your browser settings, though this may affect functionality.

9. Security

We take data security seriously. All data is transmitted over HTTPS. Documents are stored with access controls. Payment data is never stored on our servers — it is handled entirely by Stripe.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or a notice on the platform. Continued use of the Service after changes constitutes acceptance.
